WHAT YOU’LL DO 

The Academic Registrar serves as the functional owner of the school’s academic data systems, ensuring accurate, secure, and efficient management of student information across Engage, Toddle, and Open Apply. This role is responsible for executing key academic operational processes while maintaining a continuous improvement mindset toward data flows, system configurations, and cross-departmental collaboration. 

 

Academic Systems Ownership & Configuration  

  • Serve as the functional system owner for Engage (SIS), Toddle (LMS), and Open Apply. 
  • Configure system structures including permissions, user roles, data fields, academic terms, and reporting parameters.  
  • Ensure system configurations align with academic operations and enrollment workflows.
  • Collaborate closely with the IT Systems Manager on technical integrations, system updates, and API-related processes. 
  • Liaise with platform support teams to troubleshoot issues and implement improvements.
  • Identify opportunities to streamline data workflows and support cross-system alignment. 

 

Academic Operations & Scheduling  

  • Plan, communicate and execute the master academic scheduling process for students, faculty, and spaces, to ensure schedules are in systems 
  • Update schedules to reflect new enrollments, withdrawals, electives, and course changes. 
  • Collaborate with divisional leadership on course structures, sections, and accommodations. 
  • Coordinate classroom and shared space scheduling in partnership with Operations. 
  • Support the implementation of parent-teacher conference scheduling processes. 


Student Lifecycle & Enrollment Data Management 

  • Oversee student data management from inquiry through enrollment and withdrawal. 
  • Maintain accurate and up-to-date enrollment statuses within Open Apply. 
  • Provide periodical enrollment and withdrawal data reports to Leadership. 
  • Collaborate with Admissions and Marketing to ensure clear, reliable data reporting. 
  • Ensure smooth data transitions between admissions, business, and academic systems. 

 

Academic Records & Reporting 

  • Manage report card setup, validation, and publishing processes in collaboration with divisional leadership and Communications. 
  • Prepare and distribute official transcripts in coordination with academic teams. 
  • Maintain consistency in course nomenclature and academic record standards. 
  • Serve as the primary contact for internal student data reporting requests. 
  • Produce periodic statistical and academic data reports as required. 

 

Data Accuracy, Security & Collaboration 

  • Ensure the accuracy, reliability, and confidentiality of all student records. 
  • Conduct periodic audits to maintain data integrity. 
  • Collaborate with the Compliance team to provide required data for Educational Bureau reporting 
  • Maintain clear, accountable, and reliable communication with stakeholders across divisions. 


WHAT YOU’LL BRING  

  • Strong organizational and operational execution skills. 
  • Experience managing student information systems (SIS) and/or learning management systems (LMS). 
  • Ability to configure systems, manage permissions, and maintain structured data environments. 
  • Experience with academic scheduling and complex process coordination preferred. 
  • Clear and professional written and verbal communication skills. 
  • Detail-oriented, process-driven mindset with openness to continuous improvement. 
  • Ability to collaborate effectively in a cross-functional, multicultural environment.
